Speaking on the phone in English

This is often the hardest part of speaking English mainly because you can't see the reactions of the person you are talking to...

Conversation 1: Navigating Gatekeepers and Leaving a Message

Comment contourner les filtres et laisser un message


In this first scenario, a caller (Brian) is trying to reach someone who is unavailable, so he speaks to a Personal Assistant (Karen) to leave a detailed message and spell out his contact information.

Dans ce premier scénario, un appelant (Brian) tente de joindre une personne indisponible ; il s'adresse donc à une assistante personnelle (Karen) pour lui laisser un message détaillé et lui dicter ses coordonnées.


Grab a partner and practice this three-person dialogue:

  • A (Receptionist): Good morning, J. P. Communications.

  • B (Brian Taylor): Good morning. Can I speak to Brenda Knight, please.

  • A (Receptionist): Who’s calling please?

  • B (Brian Taylor): This is Brian Taylor from Direct Business Services.

  • A (Receptionist): One moment please, Mr. Taylor... I’m sorry Mr. Taylor, Miss Knight isn’t in her office today. Would you like to speak to her P.A., Karen Johnson?

  • B (Brian Taylor): Yes please.

  • A (Receptionist): OK, one moment please and I’ll put you through.

  • C (Karen Johnson): Karen Johnson.

  • B (Brian Taylor): Hello Ms Johnson. This is Brian Taylor from Direct Business Services. Is it possible to leave a message for Brenda

    Knight?

  • C (Karen Johnson): Of course.

  • B (Brian Taylor): Could you ask her to contact me to change an appointment? My telephone number is 01274 338249.

  • C (Karen Johnson): That’s 01274 338249. OK. And do you have an e-mail address?

  • B (Brian Taylor): Of course, it’s brian.taylor@dbs.co.uk.

  • C (Karen Johnson): Could you spell that for me, please?

  • B (Brian Taylor): Yes, that’s Brian B-R-I-A-N dot Taylor T-A-Y-L-O-R at D-B-S dot C-O dot U-K

  • C (Karen Johnson): Thank you very much Mr. Taylor. I’ll give Ms. Knight your message.

  • B (Brian Taylor): Thank you. Goodbye.

  • C (Karen Johnson): Goodbye.


Conversation 2: Taking Contact Details and Confirming Numbers

The following conversation is a fantastic exercise for practicing how to clarify information on the phone. In this dialogue, the receptionist has to ask the caller to spell their name and repeat their phone number to ensure there are no mistakes.


La conversation suivante constitue un excellent exercice pour s'entraîner à clarifier des informations au téléphone. Dans ce dialogue, la réceptionniste doit demander à son interlocuteur d'épeler son nom et de répéter son numéro de téléphone afin de s'assurer qu'il n'y a pas d'erreur.



Try reading this two-person scenario aloud: Essayez de lire à haute voix ce scénario à deux personnages :

  • Receptionist: Good morning. P.T. Communications.

  • Caller: Good morning. Can I speak to Mrs. Pullman, please?

  • Receptionist: Yes. One moment, please. I’m sorry, she’s not in her office. Can I take a message?

  • Caller: Yes, please. Could you ask her to call me?

  • Receptionist: Yes, of course. Could you give me your name and telephone number?

  • Caller: Yes. My name’s Jason Whitely and the number is 013 976 7835.

  • Receptionist: Could you spell your name, please?

  • Caller: Yes. Jason, that’s J-A-S-O-N, Whitely, W-H-I-T-E-L-Y.

  • Receptionist: Thank you. And could you say the number again?

  • Caller: Yes, it’s 013 976 7835.

  • Receptionist: Thank you, Mr. Whitely I’ll give her your message.

  • Caller: Thank you. Goodbye.

  • Receptionist: Goodbye.


How to use this guide for your studies:

To get the most out of these conversations, we recommend finding a study partner. Take turns playing the role of the caller and the receptionist. Pay special attention to how you pronounce letters of the alphabet and numbers, as spelling names and reciting phone numbers are often the hardest parts of a real-life phone call!
